Privacy Policy

Japan Music Culture Academy (hereinafter referred to as "the Corporation") has established the following Privacy Policy (hereinafter referred to as "this Policy") to ensure the proper handling of personal information within the Corporation. We comply with the Act on the Protection of Personal Information (hereinafter referred to as "Personal Information Protection Act") and other laws and regulations, as well as the guidelines of the Personal Information Protection Commission and other guidelines, and establish, implement, and maintain voluntary systems and rules.
The terms used in this Policy shall conform to the meanings defined in the Personal Information Protection Act.

1. Collection and Use of Personal Information

When collecting personal information, the Corporation will announce or notify (including publication through this Policy) its purpose of use, and when obtaining personal information recorded in contracts or other documents (including electronic records) directly from the individual, we will clearly indicate the purpose of use in advance and collect it through lawful and fair means.
In addition, the Corporation will properly use personal information to the extent necessary to achieve the purpose. If it becomes necessary to use the information beyond the scope of the purpose, we will contact the individual, and use it only after obtaining consent.

2. Purpose of Using Personal Information

The purposes for which the Corporation uses the collected personal information are as follows:

  1. Construction, operation, provision, and introduction of archives on the Corporation's website and elsewhere
  2. Responding to inquiries to the Corporation
  3. Conducting notifications, advertisements, promotions, and surveys related to projects implemented by the Corporation
  4. Improvement of content on the Corporation's website and other platforms
  5. Other operations incidental or related to the above purposes of use

3. Provision of Personal Data to Third Parties

The Corporation will not provide personal data to third parties without obtaining prior consent from the individual, except in the following cases. The personal data provided shall be limited to the necessary minimum in terms of its target and scope of use.

  1. When based on laws and regulations (including ordinances)
  2. When necessary for the protection of human life, body, or property, and it is difficult to obtain the consent of the individual
  3. When especially necessary for improving public health or promoting the sound growth of children, and it is difficult to obtain the consent of the individual
  4. When it is necessary to cooperate with a national government organization, local government, or a person entrusted by them in executing affairs prescribed by laws and regulations, and obtaining the individual's consent might impede the execution of such affairs
  5. When providing personal data to academic research institutions, etc., and such academic research institutions need to handle the personal data for academic research purposes (including cases where part of the purpose of handling such personal data is for academic research purposes, excluding cases where there is a risk of unjustly violating individual rights and interests)
  6. When the matters required by law have been notified or publicized in advance, and the Corporation has submitted a notification to the Personal Information Protection Commission

In the following cases, the recipient of the personal data is not considered a third party:

  1. When the Corporation entrusts all or part of the handling of personal data to the extent necessary to achieve the purpose of use
  2. When personal data is provided due to business succession resulting from merger or other reasons
  3. When personal data is used jointly with specific persons, and the individual has been notified in advance or it has been publicly announced regarding such joint use, the items of personal data to be jointly used, the scope of the joint users, the purpose of use by the users, and the name of the person responsible for the management of the personal data

4. Security Management Measures

The Corporation takes necessary and appropriate security management measures to prevent leakage, loss, or damage of personal data and to manage it properly. These measures include, but are not limited to, establishing this Policy, developing internal regulations for handling personal data, establishing organizational management systems such as appointing responsible persons, implementing appropriate information security measures such as access restrictions and computer virus countermeasures, conducting audits of personal data handling status including at contractors, and implementing regular training for employees.

5. Outsourcing

When outsourcing all or part of the handling of personal data to the extent necessary to achieve the purpose of use, the Corporation will properly manage and supervise the contractor, including concluding contracts that include appropriate handling of personal information and its supervision.

6. Requests for Disclosure, etc.

When the Corporation receives requests from individuals based on the Personal Information Protection Act for disclosure, correction/addition/deletion, cessation of use/erasure, cessation of third-party provision, or notification of the purpose of use regarding retained personal data held by the Corporation, we will verify that the requester is the individual or a person with proxy authority according to the prescribed procedures, and respond appropriately in accordance with the Personal Information Protection Act.

7. Information Collection on the Corporation's Website

The Corporation uses "cookies" (technology that stores usage history and other information exchanged on the web in your browser) and other similar technologies for tracking or analysis (hereinafter collectively referred to as "Cookies") as information collection on the Corporation's website for the operation and improvement of the Corporation's website and services, or for investigating the causes of unauthorized access.
